How to document a candidate's online review for the hiring file

A dated dossier you can file, not an alert feed — and not an ad-hoc set of screenshots. For HR teams, recruiters and hiring managers; each dossier is employer-ordered. Record the purpose, the attestation, sourced, dated public sources (screenshots when available), how identity was corroborated, what was not found, who reviewed it, and the next step.

What the record should contain

Stay with publicly available sources. CordPrism reviews publicly available sources only; channels behind a login wall are skipped. Inform the candidate through your own hiring process. Keep the review tied to one role. Avoid special-category data (health, religion, political views, union membership, sexual orientation). Leave the hiring decision to people.

Field What to keep
Purpose / role The defined hiring purpose the employer supplied for this candidate
Attestation CordPrism relies on the employer's attestation (who, when, scope, plus a confirmation checkbox), required before any run; it does not collect proof of consent. Keep your own note of what you attested (who, when, scope) in the hiring file.
Sources Sourced, dated public pages. Include screenshots when available. web and news search; public GitHub; information supplied by the employer, including public profile URLs you provide; limited public affiliation data; public social comments and mentions on networks such as Facebook, Instagram, X and Reddit, when public and available; and breach catalogs for employer-supplied emails, when available.
Identity Confidence-gated. Name-only hits stay collisions until a second identifier corroborates them. CordPrism correlates employer-supplied seeds (work email, LinkedIn or other profile URL, GitHub handle) with public profiles.
Non-findings Limitations and non-findings stay visible. We do not claim complete coverage, people-enrichment bureau data or court records.
Reviewer Who on the hiring team read the file. CordPrism documents; your team decides.
Next step A practical suggestion for what your hiring team or counsel should verify. CordPrism does not decide.

DIY notes vs a documented dossier

Scattered browser tabs and unmarked screenshots omit dates, sources, collisions, and who reviewed them. A CordPrism dossier is delivered as a PDF: one sourced, dated document for the hiring file. See CordPrism vs searching Google and social media yourself and the comparison with a background check.

Before any run the employer must complete the consent attestation and confirm the dossier is employer-ordered and purpose-limited; we may refuse requests (spam, abuse, missing consent, or lack of relevance).

Keeping the file

How long the employer keeps a downloaded hiring-file copy is the employer's own record-keeping question. Ask your counsel or DPO. This page does not describe CordPrism's storage rules.
